Today, finalizing a toolbox talk produces a branded sign-in sheet PDF with the attendee roster and a signature line for each worker — print it or pass the paper around, and the signed sheet is your record. On-device finger-drawn signatures are on the roadmap; until then, the printed sheet is the signature flow.
Yes. The whole app runs in English and Spanish, and voice dictation and Voice-to-Form understand both. A foreman can run and document the talk in Spanish while the office works in English — same workspace, same records.

A record is one document — a toolbox talk, an incident report, a safety audit, or a JHA, with its photos and details. Records roll over the first of each month; partial-month signups get a prorated count. Only Starter has a monthly cap; Pro and Business are unlimited.
On Pro and Business plans, Tailgate turns rough field wording into a clean, professional record with one click — and can analyze patterns across a site's history. The workspace owner can cancel in-app under Workspace settings → Billing — do this before the trial ends to avoid being charged. For plan changes or to manage your card and invoices, use the Stripe billing portal or email support and we'll adjust it for you.
Only the Starter plan has a monthly cap (25 records); Pro and Business are unlimited. If you reach the Starter limit, finishing and finalizing records already in progress keeps working — starting brand-new records is paused until the count resets on the 1st. If you're regularly hitting it, upgrading to Pro removes the cap.
We give you 30 days to export everything (PDFs, photos, record data). After that, your workspace is permanently deleted.

Almost always it's signal. Tailgate queues your photos and edits locally and uploads them automatically once you're back online — you'll see a small indicator while anything is pending. Keep the tab or home-screen app open until it clears. If photos are still stuck after you've had a solid connection for a few minutes, email support with your workspace subdomain.
Yes. You can keep documenting on a jobsite with no signal — the app saves your records, edits, and photos on the device and syncs them when the connection comes back. Nothing is lost; it just catches up the moment you're online again.
On iPhone, download the Tailgate app from the App Store. Tailgate is also a full web app — it runs in a modern browser on current iOS and Android phones and tablets, as well as on a laptop or desktop, with nothing to install. Mixed crews are fine: it's the same workspace and login either way.
Dictation works in Chrome and Safari. On iOS it works in Safari once you've added Tailgate to your home screen — the App Store app doesn't include voice dictation yet, so if your crew relies on it, use the Safari home-screen route on iPhone for now. Tap the microphone next to any long-text field and speak — your words are transcribed straight into the field.
Finalizing locks the record and generates the PDF, so it can't quietly change afterward. But it isn't permanent — an Owner or Office user can re-open it with the Unfinalize action, make the correction, and finalize again to regenerate the PDF. That's the way to fix a mistake the right way, with the change visible in the activity log.
A workspace Owner adds users in-app from the Users screen, assigns a role (Owner, Office, or Foreman), and grants the record types that person needs. Your plan sets the seat count — Starter includes 3 users, Pro 10, and Business is unlimited.
It's self-service. On your workspace login page, use the Forgot password link and we'll email you a secure reset link. No need to contact support or wait on an admin.
There are three. Owner has full access including settings and billing, and can unlock finalized records for corrections. Office can read and edit records and unlock finalized ones for corrections, but not change settings. Foreman is the field role — for the crew lead or safety lead who creates and edits records, adds photos, and finalizes them on-site, locking each record with a timestamp. See the docs for details.
Yes. Every workspace is isolated — your incidents, audits, rosters, and photos live in a dedicated, per-tenant database, separate from every other customer. Incident reports can contain sensitive worker information, and the app supports privacy-case classification for the cases OSHA treats as privacy-concern. We don't sell your data. Every finalized record is a PDF you can download and share at any time — that's your portable copy. If you cancel, you get a 30-day export window to pull down your PDFs, photos, and record data before the workspace is permanently deleted. Need a hand exporting in bulk? Email support.
Yes. Owners and Office users can disable fields you don't collect and reorder a record type's sections under Modules → Edit fields. You can also upload your logo and a four-color palette under Workspace settings → Branding so every PDF carries your look. Changes apply to new records right away — no app update needed.
